GENERAL SUMMARY:
Provides skilled administrative support of a confidential nature for Clin-Path Associates and Pathology Specialists of Arizona (COO, Exec Committee, Pathologists and administrative staff). All employees are responsible for supporting the Company’s goals and mission, and for following all Company policies and procedures. This position maintains a variety of confidential records. Quality customer service is an essential part of every position.
ESSENTIAL FUNCTIONS:
- Supports CPA and PSA Chief Operating Officer and the Executive Committee (s) with day to day administrative and organizational duties to ensure the company runs efficiently.
- Assists with Meeting planning, including Agenda development, Meeting Minutes, catering needs and meeting handouts when needed.
- Acts as the coordinator for information needed by laboratory staff and department operations by setting up and maintaining systems for files and supplies.
- Screens calls and visitors, providing information and referral as appropriate.
- Inventories and orders supplies for the Administrative area such as forms and office supplies.
- Sorts and screens mail for Pathologists and administrative Staff. Uses judgment in identifying required actions on incoming mail and manages the follow up when appropriate.
- Take inventory of kitchen and office supplies and place Costco order.
- Add supplies to Staples order and process order every week.
- Distributes daily/monthly schedules for pathologists and P.A.’s.
- Writes Policies and Procedure, formatting into standard organization templates and maintains a document control process for easy retrieval and future editing.
- Assists administrative staff with projects as assigned. This would require the use of MS office tools like Power Point, Excel and advanced work functions.
- May be asked to research best practices and implement efficient systems to improve the management of the office.
- Performs other related duties as required.
Other Optional Tasks as Assigned:
- Review Clin-Path Pathology and Pathology Specialists of Arizona billing accounts. Add CPT codes and ICD-9 codes as necessary, making corrections as appropriate.
- Auditing Banner hospital accounts, verifying CPT codes, making additions and/or corrections as appropriate.
- Send Quarterly Reports for QA for body site, or other possible non-pathologist related changes.
Minimum Qualifications:
- Must have at least two years experience providing high level secretarial support in a multi-person office.
- Must have Associates Degree, Preferred Bachelors Degree.
- Must be proficient in MS Office software and has strong aptitude to learn new technology.
- Must have highly developed interpersonal skills and demonstrate professional behavior.
- An aptitude for medical terminology or experience in a healthcare setting is desired.
